Privacy policy

Plain words about what NexusProperty.App collects, why, and what you can ask us to do about it. Last updated 13 October 2026.

Who we are

NexusProperty.App is property management software for landlords, letting agents, block managers and their tenants, operated by NexusProperty (registered in England & Wales). This policy explains what information the service collects, why, and what you can ask us to do with it.

If you have any question about this policy, contact us through the contact page or email us — we answer personally.

Information we collect

The information in NexusProperty.App falls into three groups.

  • Account details: your name, email address, password (stored only as a secure hash) and the organisation you belong to.
  • Records you enter: properties, tenancies, tenants, landlords, contractors, lease documents, safety certificates, inspections, rent schedules, payment records and messages. This is your working data — you choose what goes in, and you remain responsible for having a lawful basis for the personal data of the tenants, landlords and others you record.
  • Payment details: card payments are processed by Stripe. We never see or store full card numbers — Stripe returns only a payment reference and the last four digits, which we store for receipts.

How we use your information

We use the information above only to run the service:

  • To provide your account, your organisation workspace and the features you use — rent tracking, maintenance triage, compliance reminders, documents and portals.
  • To process subscription payments and rent payments through Stripe, including payouts to landlords' connected bank accounts.
  • To send service emails you or your organisation trigger (rent reminders, notices) and essential account emails (sign-up confirmation, password resets). Transactional email is sent from our own domain, noreply@nexusproperty.app.
  • To power the AI features — the maintenance triage, tenant assistant and copilot read the records you give them so they can answer and prioritise. Your records are not used to train third-party AI models.

What we share, and with whom

We do not sell your data and we do not share it for advertising.

Within the service, the people in your organisation see the records your organisation enters. Tenants you invite see only their own tenancy: their home, their rent, their payments and their messages. Landlords you invite see the properties assigned to them.

Outside the service, data goes only to the providers needed to run it: our hosting and database provider, Stripe for payments, our transactional email provider, and the AI provider that powers the assistant features. Each processes data only on our instructions to deliver the service.

We may disclose information if the law requires it — for example, a valid court order.

Cookies and local storage

NexusProperty.App uses a single sign-in session cookie so you stay logged in, and small amounts of browser local storage for interface preferences (such as whether you have dismissed the setup checklist). We do not run advertising or third-party tracking cookies.

How long we keep data

Your records are kept while your account is active. Payment records are retained as long as needed for accounting and dispute purposes. When you ask us to delete your account, we delete your personal data; records that must be kept for legal or accounting reasons are kept only for that period and then deleted.

Security

Access to your data is protected by authentication on every request, and each organisation's records are separated at the database level so one workspace cannot read another's. Payment credentials are handled entirely by Stripe, which is PCI DSS compliant. No system is perfectly secure, but we design so that a mistake in one place cannot expose another organisation's data.

Your choices and rights

You can ask us for a copy of the personal data we hold about you, ask us to correct it, or ask us to delete it. Tenants recorded by a landlord or agent on the service should first ask that organisation, since they control the records; if that fails, contact us and we will help.

You can change or reset your password at any time, and you can ask us to close your account. To exercise any of these rights, use the contact page or email us — we respond to every request.

Changes to this policy

If we change this policy materially, we will announce it in the app or by email before the change takes effect. The date below is the last update.
